The Playbook

Before treatment, use a four-part expectations handoff: 1. Confirm and plainly disclose the office’s network status for the relevant benefit plan. Do not let familiarity with a patient, plan name, or prior visit substitute for confirmation. 2. State the practice fee for the planned care. This is not a statement of what a benefit plan will pay or what a patient will owe. 3. If the team shares benefit information, label it as an estimate and not a guarantee of coverage or payment. The American Dental Association’s educational sample form makes the same estimate boundary and says it does not replace state law or legal advice. 4. Record that the network-status, practice-fee, estimate, and written-policy conversation occurred before treatment. Assign an owner for unresolved questions rather than making the EOB the first handoff. If an EOB later appears inconsistent with the office record, reconcile the actual facts.
